Study In Finland processing the documents and its way

As admission is based on the documents you submit to the university, it is very important that you prepare your application file with care and submit all the required documents to the university. The programmes only evaluate complete applications, i.e. applications which contain all the required documents.
If you apply for admission to more than one programme at a time, please submit a full application file to each programme you apply for.
Before submitting your documents directly to the University of Vaasa, please consult the following country-specific requirements that may concern you.
Note that the country-specific requirements apply to the country where the degree has been obtained.

Required documents

A list of required application documents for each programme is available in the admission criteria and on the application form created by the electronic system. The required application documents are the following:
  • Printed application form (created by the electronic application system)
  • Photocopy of passport's information page / official ID card
  • Letter of Motivation
  • Curriculum Vitae (CV, Resume)
  • Proof of language proficiency
  • Degree certificate(s)
  • Transcript(s) of record
You may also submit other documents supporting your application to the university. These may include, for example, letters of recommendation, work certificates, and diplomas of other studies. For more detailed information about the required documents, please see the admission criteria of the programmes.

Translate the documents into English, Finnish or Swedish

The required application documents must be submitted to the university in Finnish, Swedish or English. All translations of the required documents are to be made by an official translator and must bear the signature and stamp of the translator. A copy of the document in the original language must be submitted together with the translation.

Photocopies accepted

You may submit certified photocopies of the documents to the university when applying for admission to the programmes. The photocopies can be certified, for example, by the institution which issued the original document, notary public, or other official body.
Please note, however, that photocopies are not accepted in case of TOEFL results. IELTS result sheets and other language test results may be submitted to the university as photocopies, because we can verify the results online. Please also note that IELTS or TOEFL test results are not accepted if they are more than two years old.

Submit your documents to the university by the deadline

The deadline for filling in the electronic application form and submiting the required documents is 28 February 2013 at 23.59 (16:00 GTM+2). Please note that the documents need to be delivered to the university by the deadline. Postmark of 28 February is not accepted. Exceptions cannot be made to the deadline, and late applications will not be processed.
The applicants are responsible for ensuring that their application documents are delivered to the University by the deadline. The university cannot take responsibility for documents which are not submitted to the university by the deadline (e.g. language test results sent by the testing organisations which are delivered late to the university, documents lost by the mail service).
The applicants are responsible for ensuring that the required documents are enclosed in the application file or will be submitted separately to the university. If the documents are submitted separately to the university, they should clearly state the name of the applicant and the programme to which the application documents are submitted.

Address for applications

The mailing address is stated on the last page of the printable application form. Applications must be sent to the university via regular (air) mail or a courier service. Applications sent via fax or email are not accepted.

Either one of the abovementioned addresses may be used when sending in the application documents. The street address may be required if the documents are sent through a courier service.

Authenticity of documents

Authenticity of all submitted documents will be examined by the university when the application is received. In case of any counterfeit documents or fraudulent information, the application will be disqualified. Also, if you are granted admission, you are required to verify all information given in your application form and photocopied attachments by showing the original documents (e.g. degree certificate, transcript of university records) when you arrive in Vaasa. If you fail to submit these documents upon registration at the University of Vaasa, your admission will be invalidated.

How do I know if my documents are received?

We will notify you by email once the application is received and processed. Especially in the end of the application period, due to large number of applications received, the processing of applications may take more than one week. The email will be sent after the authenticity of the application documents has been verified and the application checked in regard to the required documents.
Because of possible delays in the processing of applications, it is recommended that applicants wishing to confirm the receipt of their documents immediately after the delivery send their application to the university as registered letters or through courier services. By using registered letter or courier services, you will receive a confirmation of delivery from the mail service provider immediately after the documents are delivered to the university.
